This system enhances efficiency by centralizing documents, projects, and quality management processes, ensuring alignment with best practices and policies.
Operating across the Nordic region, NCC specializes in developing sustainable office, retail, and logistics properties. In 2023, the division generated SEK 1.4 billion in turnover with a team of 120 employees. With its project-intensive nature, NCC sought to improve how it manages projects and documents, choosing to integrate all its operations into one unified platform.
Previously, NCC relied on a standalone Quality Management System, which lacked comprehensive visibility into processes and project management. The outdated system required an upgrade. NCC’s solution was to build an integrated system that brought together process definition, document control, and project management in one platform.
“We needed a unified solution to manage all our processes and documents. Omnia stood out because of its flexibility and seamless integration with Microsoft 365. It gives our users quick, easy access to all necessary tools, processes, and documents in one place, making them more productive,” says Martin Sandén, Head of Operational Development and Sustainability at NCC Property Development Nordic.
Omnia provides critical features that allow NCC to create and publish business processes and project models, linking documents, templates, and guidelines to each activity. The platform supports project management in Microsoft Teams and SharePoint, offering real-time insights into work in progress and governance models for processes and controlled documents.
"Omnia ensures that every process is executed correctly and that the right documents are used and filed properly. This leads to improved traceability, greater control over our processes, and better compliance with industry standards,” says Sandén.
The integrated solution also improves the reliability of information, as users can now verify that documents are created by the correct individuals using the proper templates, ensuring they are the most up-to-date version.
While the system is intuitive, regular user training is vital for maximizing its potential. NCC conducts follow-up training sessions every six months and an in-depth user survey annually to ensure employees are fully equipped to leverage the solution’s capabilities.“Although the user interface is simple and our team is IT-savvy, regular training is necessary to ensure we’re getting the most out of the solution,” concludes Sandén.
By integrating project, document, and quality management in one platform, NCC has significantly improved its operational efficiency, traceability, and compliance.
The Challenge
NCC Property Development needed to streamline its project and document management processes. Their existing standalone Quality Management System lacked visibility into operations and required an upgrade to better support project-intensive work across the Nordic region.
The Solution
NCC implemented an integrated solution combining Omnia and Microsoft 365. This platform centralized documents, projects, and quality management processes into a unified workspace, enhancing productivity and ensuring alignment with best practices and policies.
The Result
The new system significantly improved efficiency, traceability, and compliance. Omnia's seamless integration allowed real-time insights into projects, better document control, and improved governance. Regular user training ensures employees maximize the platform's potential, driving ongoing improvements across operations.
